One of the biggest challenges with modern productivity?
Too many atomic inputs. Ideas, actions, practices—firing at you from all directions.
That leads to overload, and worse, decision fatigue.
So how do you manage all that incoming potential?
How do you quickly tell the difference between a to-do, an idea worth exploring, or something to save for later?
You need a fast and reliable system to sort every input into:
-
To-Dos for Today
-
Ideas to Explore
-
Backlog for Later
That’s where the Action Filter comes in.
The Action Filter
This is your decision-making radar. Ask yourself:
-
Do I act on this now?
-
Do I save it as an idea?
-
Do I backlog it for later?
Here’s how to break it down:
1. Is it an Idea?
Ask:
“Is this something I want to explore, shape, or save for later thinking?”
Signals it’s an idea:
- Not fully formed
- Could lead to something meaningful
- Doesn’t have a clear next action yet
- You’re not sure if/when you’ll act on it
Action:
Park it in your Ideas Folder or Someday/Maybe list
(Use tags like “Explore,” “Later,” or “Inspire”)
2. Is it a Task for the Backlog?
Ask:
“Is this something I want to do, but not today?”
Signals it’s a backlog task:
- Clear action item
- Valuable, but not urgent
- Aligned with goals or projects
- You won’t feel bad skipping it today
Action:
Add it to your Backlog, grouped by project, goal, or theme
(Use tags like “Next,” “Later this week,” or “Q2”)
3. Is it a To-Do for Today?
Ask:
“If I only did this today, would it make today a win?”
Signals it’s a today item:
- Small and actionable (can be done today)
- Moves the needle (progress toward key outcomes)
- Important or urgent
- You’re committed to it
Action:
Put it on your Today List — ideally as 3 Wins or Top 3
(Use a highlight color, checkbox, or separate today block)
Bonus Trick: Use the 3 Filters in One Flow
Whenever something pops into your head or inbox, run it through this:
“Is this an idea, a task for later, or a to-do for today?”
This 3-second habit gives you:
-
Mental clarity
-
Sharper priorities
-
Faster flow
Final Thought
You don’t need more time.
You need better filters.
